How to Use the Church Administrator Portal

The Church Administrator Portal is a secure, privacy-preserving dashboard designed specifically for church administrators, pastors, and ministry coordinators partnering with Elder IT.

It provides real-time visibility into your church’s tech support plan, monthly hours usage, and congregation reach—while strictly safeguarding member privacy.

To eliminate forgotten passwords and credential leaks, the portal uses a passwordless one-time passcode (OTP) system:

  1. Enter Your Registered Email:
    • Type the email address registered with your church’s partnership agreement in Elder IT’s records.
    • Click Send sign-in code.
  2. Retrieve Your 6-Digit Code:
    • Check your inbox for an email from Elder IT <portal@elder-it.com> with a 6-digit verification code.
    • The code is valid for 10 minutes.
  3. Verify & Access:
    • Enter the 6-digit code on screen to access your church’s live dashboard.

[!NOTE] Multiple Administrators: Your church can designate multiple authorized administrators (e.g., senior pastor, church secretary, and missions coordinator). Each person signs in with their own email address and accesses the shared dashboard.

Once signed in, the dashboard is divided into three primary management sections:

  • Plan Status: Shows active tier (Bronze, Silver, Gold, or Cobalt), term length (3, 6, or 12 months), and plan renewal date.
  • Monthly Hours Balance: A prominent status gauge showing:
    • Total monthly hours allocated
    • Hours used during the current calendar month
    • Hours remaining before overtime rates apply
  • Support Format Breakdown: Tracks session counts across Remote, At-Church, and In-Home visits.
  • Congregation Reach: An anonymized count of unique church members who have received technical assistance this month and over the lifetime of the plan.
  • Plan Subscription Cost: Confirms monthly or term payments.
  • Payer Responsibilities: Displays whether the church or individual members cover overtime hours and in-home visit upgrades.
  • Invoice Reconciliations: Summarizes any pending post-paid overtime or travel base fee charges before monthly statements are generated.

To ensure that only authorized congregation members utilize your church’s tech support hours, the portal allows administrators to choose one of three verification options:

Any individual who identifies your church when contacting Elder IT is eligible to receive support under your plan. Recommended for welcoming community ministries.

Elder IT assigns a confidential 6-digit passkey to your church:

  • Administrators can view, copy, or refresh the code inside the portal.
  • Members provide this code when scheduling an appointment or calling the help desk.
  • Ideal for churches that want simple verification without maintaining rosters.

When set to Approved Roster, only members listed on your church’s active roster can book appointments under the church plan:

  • Add a Member: Click Add member and enter the congregant’s name and contact information.
  • Status Toggles: Mark members as Active, Pending Review, or Inactive.
  • Roster Privacy: Roster lists are kept strictly separate from technical support session notes.

Elder IT operates under a strict privacy-by-design policy:

  • No Medical, Pastoral, or Sensitive Log Viewing: Administrators can see aggregated statistics (e.g., “8 members helped this month for 14.5 total hours”), but will never see private tech notes, device passwords, personal home addresses, or descriptions of members’ personal issues.
  • Session Isolation: Your portal session runs securely in your browser and expires automatically after periods of inactivity.

To add new administrators, transfer management responsibilities, or request adjustments to your church’s verification method, contact your Elder IT account representative or email support@elder-it.com.
